Exmerge and Archiving |

I have known a few companies use Exmerge to clear older data out of people’s
mailboxes and archive the data to a PST file. Usually this is done to manage
data growth of mailboxes, so as to keep the information store below the 16GB
limit OR/AND alleviate the backup requirements OR/AND perform an archive that
is centrally managed (as in not through Outlook).
After looking over exmerge, I can see its a reasonably simple procedure to
create the required files and also to schedule an exmerge to run whenever
specified. However, the only thing I cannot get to grips with is that within
the Exmerge.ini file it seems to specify a date range of data that you want
to archive e.g Archive data between the 1st January 1900 to the 1st of
January 2004.
What I would like to achieve is an automated schedule that would run once a
month and archive off data that is 9 months older than the date the processes
runs on..... e.g if it runs on 1st September 2004 then any data older than
1st Jan 2004 is archived.... then on the 1st October 2004, any data older
than 1st Feb 2004 is moved into the archive.
So, question here is.... Is it possible to put a variable that might look at
today’s date and calculate 9 months back OR do you have to manually edit the
Exmerge.ini file each month before the process runs and set the dates that
you want to archive data off from???
Hopefully this makes sense... and any help anyone can offer would be much
appreciated.

Yes, but when you export to PST, you lose some control over it. You can't
store PST files on/access them from your server, and the data loses SIS
(single instance storage) and takes up more space. Plus, PST files are
fragile and corrupt easily, and if they're not created in OL2003 there's a
2GB limit (problems usually occur closer to 1.5GB). And if you aren't
backing them up, you're saying you don't care about the data - so why do
this at all? Just maintain reasonable mailbox quotas and make users manage
their own mailboxes & delete old junk.

I can't help you with the scheduling bit, although I know it can be done &
perhaps someone else will post a reply to help you out there. As I said, I
wouldn't do this for archiving. Either get more Exchange servers or upgrade
to Exchange Enterprise, or both.

you have to change the INI file.

1.85 GB is the limit. Found out the hard way a while back... =^)
