When installing office we leave the default settings for Microsoft Outlook.
These include the Auto archiving every 14 days etc. Noticed recently the
calendars are set for every 3 months. Also as the archive file sits on the
C:\drive of the PC can we turn archiving off or will this cause a problem.
We do not want any user to archive anything. This is a fairly urgent
question please.

Turn off archiving to PST if you care about maintaining your data - PST
files are fragile, need to be run from the local hard drive (so backups are
difficult), and any data you care about belongs in the Exchange mailbox. I
disable both autoarchive & journaling in all new profile configs.

thanks heaps one last question if we turn of archiving now on the clients are
there any issues. One of our guru's is worried about what happens to the
existing archive file that sits on the C:\drive. I know it is not deleted by
turning archiving off but what happens as it is linked to outlook.

Right - if there's anything in it they want to keep, open it in Outlook
(file | open...) if it isn't open already, and select/copy the data to the
appropriate folder in the Exchange mailbox. To be on the safe side, select
the data, right-click + hold, drag, release - and choose "copy".

Then close the archive.pst file in the folder list. It shouldn't bother
anyone again.

thanks tried to drop/drag that failed however open file put it in personal
folders under a new folder. Can I copy the archive PST files to a network
folder for keeping before turning off archiving. As I do not want to copy
some of the files back into their mailboxes yet as some of the archives might
be large. Also if I copy it in does it overwrite whats in there or just add
the old archive data. Also it is one big archive PST not individual folders.
So when I copy it I cannot put the data in individual folders.

What happened? If you have both the mailbox & pst file open in Outlook at
the same time, this is quite easy.

The data takes up more space in PST files than in the mailbox, so you are
not saving any server disk space this way. I would get the needed data *out*
of the PST files into the mailbox and not worry about the PST files.

I don't know what you're trying to do. All you need to do is select the data
within each folder you want in the PST file in Outlook, right-click & hold,
drag to the appropriate folder in the mailbox, and release. Repeat for each
folder you need individual items frokm.
