mixing pop3 and exchange mailboxes |
|
|
Hi
A client has recently gone with a managed exchange service with a national
ISP to avoid their own exchange server setup costs.
They have configured one managed exchange mailbox on this service and can
access it fine via OWA and Outlook 2003 client.
However they want to be able to check email on a standard POP3 account at
the same time and have that incoming mail saved to the local PST and show
under the local folders, but incoming mail for the exchange mailbox to just
stay on the exchange server and show in the exchange mailbox folders.
When I create an exchange mailbox and a pop3 mailbox it only allows
delivery to one or the other. If I set delivery to the local mail folder,
the incoming mail in the exchange box gets deleted and moved to the local
inbox.
If I set up the exchange mailbox as the delivery for new mail the reverse
happens. I tried adding a rule on the mailbox so any mail for the POP3
account gets moved to the POP3 inbox which worked, however sent items which
go via the POP3 account get stored in the exchange mailbox sent items.
Is there any way to achieve this ?
They only want to access the calendar and don't even need the mail itself,
however they only have one mailbox so can't do it with delegates.

Yep. You can't select multiple delivery locations per account. It's one or
the other. And if you use the PST file, the calendar on the server isn't of
much use.

More rules for your sent items.

They're really not taking much advantage of the features of Exchange this
way. If all they wanted were web-accessible calendars, they could've used a
free Yahoo account instead of investing anything in Exchange. I suggest they
rethink their setup - either use Exchange for mail as well, and use an OST
file (or OL2003/cached mode) to have a local copy, or ditch Exchange.
They're probably spending a tidy sum on this, and it may be overkill given
what you've written. Then again, are they even aware of all of the features
they're missing out on?

Thanks for the reply. They needed to have the calendar synchronize with a
PDA also hence we decided on Exchange. They were meant to install their
own exchange server but didn't want the upfront cost.
I found the Sent Items rule didn't work when I tried that for some reason.
They were also meant to get managed exchange accounts for each user but
didn't want that expense either and I explained what they needed to do and
the ISP said it was fine.
I'll just set them up on Outlook Express with Outlook or OWA in the short
term.
Bit hard to implement a full calendar sharing solution integrated with a
PDA with no budget!

No kidding! Everyone needs a mailbox. I think they're probably going to be
spending more money with the hosted Exchange setup, too, in the long run -
Best of luck, tho.
